How to write an ATS-friendly CV
6 min readUpdated By the CareerAI team
Many employers use an applicant tracking system (ATS) to collect and search applications. An ATS reads the text of your CV, so a CV that looks good but is hard to parse can be overlooked. These steps keep your CV clear for both software and people.
Use a simple, single-column layout
Text in tables, text boxes, headers, footers and multiple columns is often read out of order or skipped. A single column with clear headings is the safest choice.
- Standard headings: Summary, Experience, Education, Skills, Projects.
- A common font at 10–12 pt; no text inside images.
- Save as PDF unless the employer asks for Word (.docx).
Match the keywords in the job description
Recruiters search an ATS with the words used in their own job description. If the posting says “data visualisation” and “SQL”, use those exact terms where they are true for you, rather than synonyms only.
Never add skills you don't have: interviews and technical tests will expose them.
Write experience as results, not duties
Start each bullet with an action verb and add a measurable outcome when you have one.
- Weak: “Responsible for social media.”
- Stronger: “Planned and posted weekly content on three channels; grew followers from 1,200 to 3,000 in six months.”
- Only use numbers you can explain in an interview.
Keep personal details minimal
Name, email, phone, city and a LinkedIn or portfolio link are enough. In many countries a photo, date of birth, marital status or national ID number is not expected and can work against you.
Check it before you send it
Copy all the text from your PDF into a plain text editor. If it comes out jumbled, an ATS may read it the same way. CareerAI's free CV check gives a rule-based ATS score and lists what to fix.
Common questions
- How long should a CV be?
- One page is usual for students and early-career candidates; two pages are fine with more relevant experience.
- Should I write a different CV for every job?
- Keep one master CV and adjust the summary, skills and top bullets for each role so they reflect that job description.
